Title: Programs & Event Coordinator
 
Reports to: Programs & Event Director
 
Job Description
The Program & Event Coordinator is a mid-level position and handling planning and execution of events and monthly programs.
 
Location:     Scottsdale Area Chamber of Commerce (SACC) office
Hours:         Full-time, some early morning, evening hours as needed
 
Specific Responsibilities

  • Contribute to the development of event strategy and ensure established goals are met.
  • Plan all details relative to events from conception to completion, including but not limited to room setup, registration, and clean-up.
  • Contribute solutions and ideas to help create quality events and a positive experience for our members.
  • Coordinate volunteer recruitment and assignments for large-scale events.
  • Support internal committees by preparing agendas, attending meetings, and tracking follow-up tasks.
  • Collaborate with marketing and communications teams to promote events through email campaigns, social media, flyers, and press releases.
  • Ensure accurate and up-to-date event information is maintained on the Chamber’s website and social platforms.
  • Work with Chamber database to run reports, lists, and documents.
  • Provide the highest level of customer service to members, vendors, and internal staff.
  • Handle inbound and outbound phone calls to existing members to gather information, manage waitlists, confirm venue details, etc.
  • Aid in growing revenue through sponsorships and in-kind relationships.
  • Manage post-event follow-up, i.e., thank-you emails, fulfilling sponsorship requirements, attendance tracking, and committee engagement.
  • Maintain knowledge of Chamber programs and events.
  • Represent the Chamber at functions within the organization and the community.
  • Aid as an alternate for ribbon cutting presence.
 
Requirements Include
  • Experience in events/meeting planning, hospitality, marketing and/or Public Relations.
  • Excellent written and verbal communication skills.
  • Excellent organizational and interpersonal skills with strong customer service focus.
  • Ability to define goals, meet urgent deadlines, organize, and prioritize projects.
  • Maintain a calm demeanor and exercise flexibility in response to changing circumstances and business priorities.
  • Exercise confidentiality and professionalism at all times.
  • Excellent MS Office Suite skills.
  • Must be available to work early morning and/or evenings as needed.
  • Must have own vehicle and valid driver’s license.
  • Must be able to lift up to 50lbs, bend, stretch, stand for extended periods of time, climb stairs, reach, twist, sit, walk and/or run.
